The Challenge
Viktor had no centralised system to track which clients had paid and which invoices were overdue. Outreach sequences were being managed manually, meaning some ran late, some were skipped entirely, and some opportunities were missed simply because there was no reminder to follow up. Clients who had not converted or who had gone quiet after achieving their goal were not being re-engaged at all.
What We Built
We built a backend CRM and outreach management system with three integrated components. First, an invoice tracking system that monitors every outstanding payment and flags overdue accounts automatically. Nothing slips through. Second, an outreach sequence manager that ensures every client communication runs on schedule and alerts Viktor if anything falls behind. Third, an automated re-engagement system that identifies clients who left or went quiet and reaches back out to them at the right intervals, bringing dormant contacts back into active pipeline without any manual effort.
